New Features

  • Preview of .msg and .eml files:  Outlook .msg Mail .eml files stored in Truth can now be previewed within the document information web page.
  • Create record page: This new feature provides the Memory team with the ability to create a new 2014 student record.  The sub-tasks associated with this include:
    • Records & Archives icon:  A new icon is available to the Memory team within the Truth top banner.  This icon links to the 'Create Record' page.
    • Data validation:  The system will check to ensure that all the information inputed (Student #, Name, etc) is valid before allowing the page to be submitted.
    • General records metadata model:  Truth now includes a new subset of metadata relevant to records management across the university.
    • Student records metadata model:  The inclusion of student records relevant metadata to Truth.
    • Record type:  Record creators can select the type of record they wish to create.  For now, the only available option is 'Student Record'.  This list will be expanded as we move additional record types to Truth.
    • Record folder validation:  The system will check whether the record folder being created already exists.  If it does, it will not allow a new one to be created with the same name, and will automatically re-direct the user to the associated record.

Improvements

  • Automated record folder creation:  Truth Release 2.2 introduced a new records management function to automatically create record folders based on input files containing batch metadata and documents.  A number of enhancements have been made to this backend process to allow for increased stability, maintainability, and best practice conformity.  
  • Move record folder:  Eligible users can now move a record from one folder location to another.
  • Organize records by type:  An API has been developed to organize automatically created record folders based on their record type.
  • Addition of Record aspect to all records:  Truth provides an "aspects" function that allows behind-the-scenes functionality to be tied to document types.   All record folders will have by default a record aspect associated with them.  This ensures each and every record can be uniquely identified as a record.
  • Record Type association:   As per above, each record stored will also now have a record type aspect associated with it to drive future business processes.   
  • Laserfiche extraction tool:  Improvements have been made to the data extract tool for Laserfiche to improve performance.  In addition, the tool checks

Tasks

  • Import Commonwealth Assistance Notices report:  To simplify tasks for Student Services (Student Lifecycle Team), a script has been created to automatically split, parse, and ingest CANS files generated by SBSS into Truth.

  • Add additional fields for Laserfiche/Macquarie International documents:  As part of the Laserfiche migration, two additional fields are being extracted/ingested into Truth for all MI files:  Date Creation, and Modification.

  • Direct link to document via a unique identifier:  Fixes a bug where a direct link to a document based on its' unique identifier breaks if the user is not already authenticated.

Bug Fixes:

  • Fix email processing to handle empty email body:  Fixes an issue where an empty body email will cause the email to bounce.
  • Folder record search call error:   If a record file exists in Truth with the same name as a record folder, the folder record search call will return the record file.  The expected behaviour is to return the folder. 
  • Record Management bucket system code re-write:  This fix updates internal code to ensure any potential conflicts or collisions are avoided.

Truth upgrade 2.1.2

Truth.mq.edu.au will be unavailable from 8pm - 8.15pm on Tuesday 19 November whilst we upgrade Truth to version 2.1.2.

The upgrade includes a number of bug fixes, bringing improved speed, stability and usability to your Truth experience.

Improvements:

  • Incoming mail processing:  Leveraging the existing mail aspect function, a new instance has been created to automatically route incoming mail to the correct folder in Truth.
  • Group membership view:  Groups a user belongs to will now appear within their user profile section.
  • Truth error message:   The Truth error page message has been updated to also reflect access related issues, and now reads "The item cannot be found. Either you do not have permission, it has been removed or it is an incorrect link".
  • Truth page browser title:  The currently navigated page title within Truth will now reflect the selected item the user is viewing.

Tasks:

  • Folder/file bucket system:  Currently, the number of subfolders that can be contained within a parent folder has no upper limit.  This can result in severe performance issues, document congestion, and inaccurate search results.  A new feature has been created to automatically create a new "bucket", or sub-folder, within the current parent directory.
  • Existing record folder check:  As we are automating the process of checking in a document into a record folder, we need to ensure that documents pertaining to an existing record folder are stored in that location, and not in a "new" folder. This backend only function will check to see if a record folder already exists for the document being checked in. If it does, that will be the documents storage location. If it doesn't, a new record folder will be created.
  • Macquarie International Student Record Model:  Implementation of Macquarie International's metadata model, including an extraction of data from AMRD.
  • Macquarie International AMRD metadata synchronization:  Student records metadata is currently stored in AMRD, while the files are stored in a separate system.  This task will export all the data currently stored in AMRD and map it to the files stored in Truth.  
  • Laserfiche extraction tool:  A custom tool has been created to extract all data currently in Laserfiche and perform a bulk ingestion into Truth.
  • International Agreement Proposal Workflow:  Implementation of an automated workflow to manage all international agreement proposals for the International Operations division.
  • Automated script changes:  Changes to two scripts have been applied.  The first updates the script to delete expired media briefings for Marketing as a result a new folder hierarchy.  The second appends a date to an output log that tracks user logins.

Bug Fixes:

  • People and Group Finder icons:  The previous Truth 2.1 release reset the People and Group icons back to their default images.  These have now been updated to the previously correct icons.
  • PDF thumbnail generation:   A bug in a PDF conversion library that could cause the entire Truth application to crash has been resolved.   The system now uses a new PDF library.

Truth 2.1 Release Notes

 Truth, Macquarie University's repository for digital documents, has been updated and is available for immediate use.

This version includes a number of  enhancements, improvements, and bug fixes, bringing improved speed, stability and usability for all Truth users.

New Features:

  • Group Search:  Users can now search for groups in addition to people through the 'Directory' page in Truth.  The system will also display individual users that belong to a group, providing users with one common interface, without having to use separate applications to find members.

Improvements:

  • Workflow task assignment:  Improvements have been made to performance when searching/assigning users to a task when creating a workflow.  Search now uses the Lucene index instead of the existing canned query

Bug Fixes:

  • Add aspect to content in folder listing view:  Users are now able to add aspects directly to a content object within a folder view.
  • Unique ID for root level Macquarie:  Fixes a broken server side redirect for the root "/Macquarie" folder.  This now points to the correct URL.
  • Advanced search freezing:  Changes made to the search web script in a previous release resulted in the 'Advanced Search' functions freezing.  This was a result to a missing parameter in the search string query.  A fix has been made to add this query string back in.
  • Activiti Workflow Link:  The 'Activiti Workflow' link within the administrator console was pointing to the incorrect server.  It has been updated to reflect the correct address.
  • Persist referrer link when logging in:  If a user logs in to Truth with an incorrect password through a referrer link, the link is lost.  After logging in correctly, they are directed to the home page rather than the original link they clicked.  A fix has been placed to persist the referrer link even when incorrect credentials are entered.
  • Quick Search:  Currently, Quick Search functionality only works from the Truth Home Page, inherit from a missing parameter that should be passed.  A fix has been implemented to ensure this parameter is passed in, and now forms part of the header.js file.

Tasks:

  • "Academic Dishonesty" document type:  A new document type for student records has been added as per the request of MGSM
  • HRDO folder parse script:  HDRO/Memory Team has requested a script to automatically parse folder names and move the gathered information into the correct aspect definitions (mq:record & msr:studentRecord)
  • HDRO rules engine changes:  A new rule has been created for HDRO to process its scanned content with the student ID number as the file name. The file will be moved into a sub folder within the HDRO tree with student ID as the sub folder name. If the file already exist, the new file will be renamed with an additional yyyymmdd suffix before uploading.
  • MGSM rules engine changes:
    • A new rule has been created for MGSM to automatically route content to the correct student recodrd after placing scanned student record files into a Truth folder.  The script extracts information from the file name.
    • A new rule has been created for MGSM to produce a periodic CSV report, listing all MGSM student records and their corresponding unique ID URL.

Truth 2.0.1 Release Notes

Truth, Macquarie University's repository for digital documents, received a minor update overnight and is ready for your use.

This version has a minor fix to an issues discovered after the release of Truth 2.0.

Bug Fix:

  • Durable link user authentication: When a user clicks on a Truth durable link and hasn't logged into Truth they are not presented with the Truth login page, all the user receives is a blank web browser.

Truth 2.0 Release Notes

Truth, Macquarie University's repository for digital documents, has been updated and is available for immediate use.

This version has an enhanced user experience and a number of bugs have been fixed bringing with it improved speed, stability and usability.

New Features:

  • Drag and Drop upload: Drag documents from your desktop and drop them on any HTML5 compliant browser (most modern browsers) for easy upload into Truth or Drag and Drop documents between Truth folders.  The Drag and Drop feature supports multiple document uploads and document versioning, learn more here.
  • View in Google Maps action: View files with geographic data properties in Google Maps without leaving Truth.
  • Video and Audio previews: MP3 audio and H.264, OGG and WebM videos can now be previewed from the document details page.

Improvements:

  • Workflow email enhancements: Enhanced email capabilities for document workflows.
  • Tags management: Tags management has been improved with a new administration page in Truth, Tags can now be deleted, updated and their creation can be audited.
  • Documents checked out link: A "documents checked out" link has been added to the Truth folder navigation pane for users to easily find all documents they have checked out with a single click.
  • Document version history action items: Each file version in Truth now has three available actions: revert to this version, download this version and the properties of this version. 

Bug Fixes:

  • Microsoft Office document locking: An issue with Office documents opened on Windows machines becoming locked and available as 'read only'.
  • Apple OS X network share folders: The stability of network share folders for Apple OS X machines has been resolved, users can now save directly from Office for Mac applications and will no longer receive 'file in use' errors when saving new versions through the network folders interface.
  • Uploading a new document version as a Collaborator: A Collaborator was unable to upload a new version of a document owned by a different user even though this permission level should be able to.

Tuesday October 2 - over the weekend the Macquarie Graduate School of Management (MGSM) migrated their old Netware (Novell) share drives to Truth.  The MGSM migration adds more than 40 new users to Truth and over 450,000 new assets totaling more than 440GB.  This migration increased the Truth repository by 150% and Truth is now approaching the 1 million assets milestone.  MGSM and the Truth team started the on-boarding process in July 2012.  MGSM followed the on-boarding process cleansing their information readying it for migration and running an excellent communications plan informing the users about Truth in the lead up to "go live".  I would like to thank Greg Robison, Chi Nguyen and Teei Moeroa for all the work they did, particularly over the long weekend.

Truth 1.0.9 ships in limited release

Wednesday 12 September 2012 - today Truth, Macquarie University's secure, durable and authoritative repository for digital documents, was updated to version 1.0.9 in limited production release.
Truth 1.0.9 offers several enhancements to the product experience and resolution to a number of issues identified following the original 1.0 launch, including:

  • - Truth groups containing affiliated staff can now be synchronised from Active Directory allowing Truth groups to be centrally managed.
  • - Updates to objects on error handling page.
  • - Download link for Truth assets without a preview enabled.
  • - Docshare Microsoft office file locking issue resolved.
  • - Groups icon updated.

Wednesday 11 July 2012 - today Truth, Macquarie University's secure, durable and authoritative repository for digital documents, was updated to version 1.0.8 in limited production release.
Truth 1.0.8 offers several enhancements to the product experience and resolution to a number of issues identified following the original 1.0 launch, including:

  • - Error handling of user restricted content.
  • - Error handling for URL with trailing slash.
  • - Consistent format - email action single and multiple links.
  • - User notification email template update.

Monday 28 May 2012 - today Truth, Macquarie University's secure, durable and authoritative repository for digital documents, was updated to version 1.0.6 in limited production release.
Truth 1.0.6 offers several enhancements to the product experience and resolution to a number of issues identified following the original 1.0 launch, including:

  • - Users can email multiple folders and files links with a single "Mail to" action.   Learn more about this functionality here.
  • - A unified project folder structure can be added via the "Manage Aspects" folder action, this ensures organisational project document management consistency throughout Macquarie University.  Learn more about this functionality here.
  • - Download added to content actions supplementing Open action.  Clicking "Download" pulls the content from Truth to the local computer, clicking "Open" the content will now open in the browser window if the browser supports that file type.
  • - Downloaded file now display correct file type in Internet Explorer and Firefox.
  • - Version specific durable links now available, users can now copy and send links for each version of content in Truth.  Learn more about this functionality here.
  • - PDF preview now working correctly in Chrome.

Version 1.0.5 of Truth contains several enhancements to the product experience and resolution to a number of issues identified following the original launch of Truth 1.0. 

As part of the Truth 1.0.5 maintenance release: 

  • - Opening times for documents stored in Truth and being accessed via a Truth Share folder have been significantly reduced. 
  • - The Truth document previewer has been enhanced with a new "fullscreen preview" option, users can now view any document preview in fullscreen on desktop or mobile devices including iPad.
  • - Truth error messages have been updated and include more user friendly information.
  • - Truth document durable links are now consistent throughout the Truth web interface, users are now able to copy and share the durable link in the web browser address bar.
  • - A new algorithm for sorting has been introduced to further enhance Truth's folder and file arrangement in the web browser interface.  
  • - Truth pages have been given useful human readable names to help enhance navigation via web browser history.
